Senate fonds

The fonds consists of minutes of meetings, reports, correspondence and proposals created by the Senate and its various committees. In addition, the fonds includes materials relating to the election and appointment of individuals to the Senate. Also included are minutes, correspondence, reports and other records created by affiliated agencies, including the Committee of Military Education of McGill University College (1915), the U.B.C. Faculty Council (1927-1973), and the Executive Council of Convocation (1964-1965). Fonds is arranged in nine series: Senate minutes (1916-2005), Senate reports (1929-2010), Correspondence (1931- 1982), Senate elections (1912-1963), Board of Governors' approvals (1966-1983), Subject files (1915-1981), Affiliation of theological colleges (1921-1984), Senate committees (1915-1990), and External agencies (1915-1973).

Series consists of incoming and outgoing correspondence between the editor of BC Studies and its contributors, printers and administrators. In addition, the series contains correspondence with other journals and appeals to potential subscribers.

Office Files series

The series consists of material related to New's position as a professor in the Department of English at UBC and finances. Includes personal calendars, staff directories documenting his activities, 1997-2002 and various grant applications.

Assorted Sports series

These files contain records of multiple UBC sports teams. Please see the file list for sports covered in this series. Items include newspaper clippings, The Point [campus sports newspaper], media guides, and other miscellaneous items.

Lectures, Conferences and Writings series

The series consists of notes, clippings, correspondence, memos, invitations, evaluations, minutes, memorandum, telegraphs, drafts, essays, articles, newspapers, agendas, pamphlets, note cards, reports and plans relating to lectures, conferences and writings contributed to or created by H. Series consists of biographical information about faculty members, press releases of faculty appointments, journal articles, newspaper clippings, interdepartmental memos, reports, lists of faculty activities, and minutes from faculty meetings and retreats.

Athletic Events series

This series consists of agendas, memorandums, and correspondence mainly on the Millennium Breakfast in the 2000s. Also present are records relating to the Big Block Awards Banquet and UBC Hall of Fame, including programs, newspaper clippings, and other miscellaneous items.

Swimming series

The Swimming Series consists of newspaper clippings, research materials, ephemera, swimming results, and meeting minutes from the 2002 swim championships. More information on swimming at UBC can be found in swimming programs, results, and newspaper clippings in the Media and Promotions Series.

Senate reports series

Series comprised of reports submitted by the various committees of Senate for discussion at Senate meetings. The series also contains agendas for the meetings at which reports are to be discussed. Series arranged chronologically.

Lectures & debates subseries

Lecture materials relating to Dr. Grace’s talks on Thompson. Includes: correspondence, lecture notes, overhead transparencies, clippings, and ephemera.

Human Solidarity subseries

Subseries consists of drafts, essays, notes, clippings, correspondence, memos, invitations, minutes, memorandum, newspapers, agendas, pamphlets, note cards, reports, plans, and maps, relating to the Human Solidarity conference at Habitat II in Istanbul, Turkey in 1996 and the 1998 Global Meetings on Community Economic Development in Sherbrooke, Quebec. Records relating to the Habitat II conference are also found in the United Nations Works and Activities subseries.

Administration series

Series consists of records documenting the administration of the UBC Learning Exchange and includes correspondence, reports, budgets, written notes, and minutes or meeting summaries. Files are arranged in alphabetical order.

Various Professional Associations subseries

Subseries consists of drafts, essays, notes, clippings, correspondence, memos, invitations, minutes, memorandum, newspapers, agendas, pamphlets, note cards, reports, plans, and maps, relating to H. Peter Oberlander’s professional contribution to various unrelated professional associations.

Community Planning Consultants Ltd. subseries

Subseries consists of drafts, essays, notes, clippings, correspondence, memos, invitations, minutes, memorandum, newspapers, agendas, pamphlets, note cards, reports, plans, maps, and development plans relating to H. Peter Oberlander’s professional work with Community Planning Consultants Ltd. Included with this sub-series are 15 architectural drawings of an apartment house layout drawn by Cornelia Hahn Oberlander for Peter Oberlander Consultancy, 1953.

United Nations Works and Activities subseries

Subseries consists of drafts, essays, notes, clippings, correspondence, invitations, minutes, memorandum, newspapers, agendas, pamphlets, note cards, reports, plans, and maps, relating to H. Peter Oberlander’s professional work with the United Nations, including the Habitat I and Habitat II conferences. Records relating to the Habitat II conference are also found in the Human Solidarity subseries.

Non-textual materials series

The series consists of audiovisual materials and digital-born materials featuring H. Peter Oberlander or regarding projects he was involved in during his career. The microfilm is included in box 37.

Born-digital Materials subseries

Materials on digital media are currently being reviewed, and further information is pending. Subseries include both documents and photographs. Four floppy discs may also be found in the Lectures, Conferences and Writings subseries.

Correspondence series

Series consists of correspondence between Maillard and other writers, arranged by individual or organization, fan mail, and personal mail.

Series also consists of information on Beesley's Order of Canada, numerous correspondence congratulating him on his achievements, and information regarding Beesley's burial at sea in 2009.

Chronological Engineering Physics Files series

Series consists of records from Engineering Physics. It includes documentation organized roughly according to year. These documents relate to class enrollment, course outlines, interdepartmental memoranda, surveys, reunion materials, class lists, reports, and brochures.

This series is arranged based on the chronological system followed by Engineering Physics. The folders are named according to the names and dates given in hanging files by Engineering Physics and appear to be collected by Professor Edward Auld. Note that files do not exist for each year, and in some instances, the folders include a broader range of years than is identified by the title initially given by Engineering Physics.

William C. Gibson fonds

The fonds consist of research material on various medical and historical topics and research for several of Gibson's books and articles, including his books about UBC's first president Frank F. Wesbrook, Ramon y Cajal Sherrington, and his books New Endeavour and Old Endeavour. In addition, the fonds include manuscripts of a number of Gibson articles and speeches and chapters from some of his books, records from Woodward Health Science centre, and documents for the history of the Faculty of medicine and related to Green College UBC and Oxford. Faculty of Medicine fonds

The fonds of the Faculty of Medicine includes records which document the administrative and operational activities, actions and interests of the Faculty. Such records pertain to the establishment and organization of the Faculty; the development and actions of the Facultys governing bodies and committees; the planning, development and construction of various Faculty buildings such as the University Hospital, the I.R.C. Centre, the Basic Medical Sciences buildings and the Health Sciences Centre. These records also refer to the use of regional hospitals as clinical teaching hospitals and to relations between the Faculty and the University at large; as well as, with other university medical schools, governments, medical and related professions, associations and societies, businesses and hospitals. The records within this fonds also pertain to the Facultys receipt of gifts and donations, its departmental / divisional research endeavors and it applications for, and receipt of, awards for professional distinction. Technical Services sous-fonds

Technical Services is the Library division responsible for cataloguing Library holdings and maintaining the computer hardware and software on which the Library’s catalogue exists.

Sous-fonds consists of correspondence, minutes, budgets, legal agreements and reports documenting the functions and activities of Technical Services and technical manuals documenting the Library’s catalogue systems, disaster plans, digitization plans, and strategic plans.

Multimedia series

Series consists of floppy disks and a USB drive containing drafts, correspondence, business, etc. Files from USB drive and floppy disks have been migrated to University Archives digital storage and can be made available to researchers. A handful of floppy disk files could not be read and successfully migrated off the media. The digital files are from the late 90’s and range in format from #2 and #3 type files (from ViaVoice by IBM) to WPF files (WordPerfect software). Users may need to download specialized software to access older file formats. Floppy labels mention documents from 1986 to 2009.

Publicity series

This series relates to the publicity created to advertise UBC Access/ GIS Courses and the creation of a promotional history about distance education at UBC. It contains correspondence, copyright requests, brochure drafts and final copies, notes, drafts, reports and final copies of these history articles.

Dianne Longson – UBC Campus Photograph fonds

The fonds consists of approximately 1,750 35 mm. negatives of photographs taken between 1994 and 2008 by Longson. Over the years, several of her images were used to illustrate Christmas and other greeting cards for various University units. In addition, selective prints from the negatives have been scanned and added to the online photographic database. The fonds also includes printed and electronic samples of the cards created from the Longson images and digital copies of some photos stored on CDs.

Faculty Governance series

This series consists of the records of the Faculty's governing bodies: the Council of the Faculty of Medicine (1949-1970), the Faculty Executive (1970-1977, 1988) and the Full Faculty of Medicine (1950-1974, 1985-1987). The Council of the Faculty of Medicine had its name changed to the Faculty Executive in 1970 better to reflect the executive administrative role of this body. However, these two entities' functions and duties remained the same. The Council, and subsequently the Executive, is the primary governing body of the Faculty. It consists of the Dean of Medicine as Chair, Associate Deans, Department Heads, a resident representative, a B.C. Medical Association representative and the Coordinator of Health Sciences. It meets once a month and is responsible for Faculty administrative business, Faculty policy and procedure matters, the election and appointment of members to Faculty committees, the discussion of current and contentious issues of concern to the Faculty, and the coordination of departmental headship searches.
As another governing body of the Faculty, the Full Faculty of Medicine has its membership open to all interested faculty members. One of the primary functions of the Full Faculty is to review and approve the reports and recommendations of the Curriculum Committee before curriculum changes are submitted to the University Senate. The Full Faculty also discussed and endorsed other matters dealt with by the Faculty Executive. This series consists of minutes, correspondence, reports and memoranda relating to the proceedings, decisions and actions of the Faculty's governance bodies. Previously arranged chronologically.

Events series

Series consists of textual records, photographs, and audiotapes documenting many special events staged by the Ceremonies Office. Sub-series include Functions (1962-2003); Building Openings, Dedications and Presentations (1951-2003); Tri-Services Parade (1963-1968); Remembrance Day Ceremonies (1952-1987); Memorial Services and Commemorations (1958-1995); Distinguished Visitors (1980-1983); Board of Governors Receptions (1964-1988); Twenty-Five Year Club (1978-1988), Miscellaneous Events and Ceremonies, and Event Recordings (1976-1986, 1997-2000).

Administrative materials series

Correspondence, calendars, resumes, photographs, and ephemera. Documentation regarding his credentials, personal education, social activities and family are included.
