Policy series

It consists of by-laws, policies, procedures, copies of legislation, and related documents relevant to the University.

Early University Records series

The series consists of correspondence (1890-1920) generated both before and during UBC's first two presidents, Frank Wesbrook and Leonard Klinck. The correspondence that predates the appointment of UBC's first President Wesbrook deals with various issues, including membership in Convocation, appointments to the Board of Governors, hiring a President and selection of a site for the University. Correspondence generated during the presidencies of Wesbrook and Klinck provides information about the University's establishment, the hiring of staff, strictures placed on the University during World War I, attempts to move the University to its eventual Point Grey campus and many other matters. Arranged chronologically by year and then alphabetically. The series also includes subject files (1904-1936), divided into pre- and post-1915 and arranged alphabetically.

Miscellaneous Subject Files series

The subjects covered in this series include Early Medical Education at UBC (1938-1948), records relating to the Association of Universities and Colleges of Canada (1966-67), the Westar Consortium (1968-69), Campus development (1941-1982), records on the office of Research Administration later renamed Research Services (1967-1979). Subject files in this series contain information on the Asian Centre's construction, refurbishment to the President's office and records that trace the UBC Bookstore's history. Other subject files include the President's Task Force to Renew Sports Service 1987-1989. The President's Advisor files include speeches, fees, trips, Personal Security Advisory Committee, Down Town Eastside, Core Services Review and legal affairs 1998-2006.

Miscellaneous Financial Records series

This series contains annual balance sheets and financial statements, budget operating estimates, and university statistics for senate budget meetings (1976). Financial records in this series relate to Applied Sciences, Arts, Commerce, Forestry, Graduate Studies, VP Finance, Administrative Services, VP Faculty and Student Affairs, Dean of Women, Agricultural Sciences, Dentistry, Education, Law, Medicine, Pharmaceutical Sciences, Bursar and University Development Faculty and Student Affairs. Financial records can also be found throughout the Miscellaneous Committee series, Central Office Files series and Miscellaneous Subject Files series.

John M. Buchanan Memorial Fund series

H.R. MacMillan established the John M. Buchanan Memorial Fund shortly before his death in 1975. It was named for his friend, former UBC Chancellor John M. Buchanan, and administered through the President's Office. The fund was established with a $50,000 donation spent on student-related projects related to academic programmes. The University paid interest on the fund balance, but the grant terms stated that it was to be paid out over a specific period – about $4000 every year. By the time the final disbursement was paid in 1996, total disbursements were more than $150,000.

The Buchanan Fund Committee's chairs initially maintained records throughout its operation: Erich Vogt, Cy Finnegan, James Dybikowski, and Byron Hender. The bulk of the documents was transferred to the Archives by Byron Hender in 1996

Vice President Student and Academic Services

The series consists of minutes, agendas, reports and accompanying material of presidential and ad hoc committees, as well as constitutive documents relating to the functional areas of student and academic services. The series consists of five sub-series: Administrative, Committees, Subject Files, Student and Academic Affairs, and Computing Services.

Vice President of Faculty and Student Affairs series

The series consists of records corresponding to the various areas of responsibility of the position. The records reveal the changing role that the Faculty and Student Affairs office held within the university. The series includes four sub-series, which are Knowledge Network (consists of program proposals for the Open Learning Institute / Knowledge Network from faculty, along with accompanying correspondence, receipts, and memoranda), Committees (subject files consisting of correspondence, reports, and memoranda referring to Presidential and ad hoc committees); Faculties (subject files consisting of correspondence, reports, and memoranda, arranged by faculty), and Student Affairs (subject files comprised of minutes of meetings, interdepartmental memoranda, surveys, and newsletters). The records in the Student Affairs sub-series also consist of records created after the responsibility was shifted to different VP positions. This is due to several files consisting of records spanning three individuals in those differing positions in the early 1980s.

Deputy Vice President – W.M. Armstrong series

The series consists of academic planning, budgets, cliff erosion reports, Vice President's meetings, President's Permanent Committees on Academic Deans and Animal Care, Appointments, Computing Centre and Emergency Research Grants. Reports including the McDowell Committee on Course and Curriculum Changes. Various Senate Committees, including the Senate Committee on the Universities Act, Library, and Role and Organization of the Senate. Also included are research administration records, course evaluation, TRIUMF, University Press, Ubyssey, Suba Diving Policy, Student Residences and Services, System Services, Physical Plant, Status of Women at UBC etc. Please see the inventory of files in the finding aid for a complete list of topics.

Senate reports series

Series comprised of reports submitted by the various committees of Senate for discussion at Senate meetings. The series also contains agendas for the meetings at which reports are to be discussed. Series arranged chronologically.

Series consists of correspondence and memos between the Senate and other administrative bodies, including the University's Board of Governors, the American Association of Collegiate Registrars and Admission Officers and the Joint Board of the College of Education. In addition, the series contains correspondence relating to specific issues, including greek letter societies and scholarships and bursaries.

Subject files series

Series composed of correspondence, agendas and minutes of various committees, reports and recommendations, briefs and printed material relating to specific subjects and committees of Senate. The series includes an index of material created before 1942. Records relate to a wide range of University events and activities, including policy development, building construction, faculty and department development, and campus life. Series generally follows the record-keeping system maintained by the Senate between 1916 and approximately 1966. File names remain as originally assigned.

Senate committees series

Series contains minutes, reports, agendas, and correspondence created by the various committees established by Senate to carry out its mandate. Series arranged according to Senate filing system adopted ca. 1966. Records relating to each committee are maintained as a distinct subseries; arranged alphabetically by the committee's name.

Staff Relations series

Series consists of staff rankings, hearing proceedings, and collective agreement negotiations about relations between the Centre for Continuing Education, its staff members, and the union and associations which represent staff members.

Liaison with External Agencies series

Series consists of correspondence, policies, minutes of meetings, and background papers about the Centre's relations with external bodies such as the Interior Universities Programs Board (IUPB) and various international universities.

UBC Committees series

Series consists of correspondence, recommendations, and minutes of meetings about various University Committees with which the Centre was involved.

Video series

Series consists of video recordings of the presentations of the participating nations during the United Nations Conference on Human Settlements.

Office Administration series

Series consists of correspondence, budgets, mailing lists, job descriptions, policies and drafts relating to the administrative activities of Community Relations. Series also includes surveys regarding publications and public relations and speeches, publications and clippings. Two subseries: General and Budget Information.

President's Report on the Health Sciences series

Series includes publications, correspondence, and author's notes created and accumulated during the development of the President's Report on the Health Sciences. Transcripts of personal interviews with health care professionals and scholars were also included. Four subseries: UBC Offices, Other Institutions, Associated Events, and General Topics.

Writing

Series consists unpublished writing, including music composition. Also consists of criticism and editorial work. 35 books, with full or partial authorship, editorship, or other association attributed to Peter Carl have been separated from the fonds and catalogued as items. Federal NDP

Series contains materials related to Pratt’s involvement with the New Democratic Party of Canada (NDP) from 1989-1993 and 1997-2005. Pratt was a Vice-President of the Federal Council from 1991-1993, served as a member of the Policy Review Committee and Platform & Issues Working Group as well as Co-Campaign Chair for the BC Campaign during the 1993 Federal election. The series also includes records related to the Social Charter, Party background and constitutions, 1991 convention materials and various records relating to Pratt’s party membership. She was involved with the party in several capacities, including as moderator for the 2002 Leadership debates. Materials have been arranged into the above files related to both functions and subject files. Record types include correspondence, committee agendas, minutes and notes, research materials, reports, final and draft policies, convention agendas, proceedings and reports, final and draft policies, newspaper clippings, communications and campaign banners.

Kapocs series

Kapocs (“The Link”) is a newsletter created and distributed by alumni of the Sopron Division of Forestry to document the stories and activities of Sopron graduates. The contents of Kapocs are written almost entirely in Hungarian.

Acting

Series consists of documentation of the acting activities of Peter Carl Anderson, including such productions as Beckett and Arsenic and Old Lace as well as The Persecution and Assassination of Jean-Paul Marat, Anderson’s first performance. Records include scripts, notes, cards, programmes, and newspaper articles.

Photographs

Series consists of photographs, including scans and born digital photographs, depicting Peter Carl Anderson as subject. Spanning childhood, career, and life leading toward retirement. Many productions, not related to Caravan Farm Theatre, are described in the digital file names.

Miscellaneous series

Series consists of materials that document Schlesinger’s professional career but which don’t fit into any other series and includes a framed poster, several other oversized posters, promotional materials from the CBC, clippings, Schlesinger’s professional membership cards, and the typescript of a speech given at his 90th birthday (author unknown). Files are maintained in chronological order.

Audiovisual series

Series consists of audiovisual recordings that document Schlesinger’s work. Most are recordings of TV broadcasts of his news reports, interviews, and commentaries. Others are original recordings. Some of the materials in this series depict war scenes. User discretion is advised.

Commissions and Committee Work series

This series includes records from Symonds participation on various planning-related commissions and committees. Most prominently this includes the Vancouver City Planning Commission in which Symonds served as Executive Coordinator until 1983. Other pertinent examples include the National Capital Commission, Goals for Vancouver (part of the Vancouver City Planning Commission), and the B.C. Place Citizens Advisory Committee and others. One file of photographs is present which mainly depicts Symonds with fellow employees or committee members.

Planning Publications, Speeches and Writings series

Series consists of planning-related publications or articles written by Symonds or saved by her. This also includes some written speeches she delivered at a handful of different events such as the Winnipeg Urban Planning Workshop.

Correspondence and biographies

Series consists of primarily incoming correspondence from friends and colleagues of the couple. Records relate to letters from CCF colleagues such as members of the Woodsworth family and Ronald Grantham including letters returned after Grantham’s death. Records relate to a lifelong friendship with Anthony Walsh and Walsh’s biographers. A few letters are from artist and writer, George Clutesi, a key figure in the renaissance of Indigenous arts on the coast, and his wife Margaret. The series also contains personal letters written between Bernard and Jean through the many years the couple spent apart in the 1940s. The series includes biographies of the couple, family members, and colleagues.

Record types in this series include letters, newspaper clippings, and biographical notes and drafts.

University Departments series

Series consists of correspondence and memoranda about various University faculties, divisions, deans, and programs with which the School of Music has a relationship. Series is arranged in alphabetical order.

History of Nursing at UBC series

Series consists of correspondence, reports, pamphlets, and minutes of meetings on the creation of an administrative history of Nursing at UBC. The series includes the Constitution of the Nurses' Undergraduate Society (1946). It also includes a collection of yearbooks acquisitioned in October 2017.

Admissions series

Series consists of correspondence and minutes of the School's Admissions Committee and applications and correspondence from potential students.

Reports series

Series consists of various reports on and by the School and other related records. Series also includes Self-Study Reports on the School's programs and Accreditation.

Miscellaneous series

Series consists of materials relating to the production of the journal, including style sheets, drafts of cover and layout designs, and notes relating to circulation, as well as the development of theme issues. In addition, the series contains publications and clippings relating to Canadian scholarly journals. Finally, this series includes lists of manuscripts submitted to BC Studies and their status.

Finance series

Series consists of financial statements, analyses, statistics, reports, and ledgers about the financial transactions of the Faculty Club. The series contains three subseries: Financial Statements, Revenues, and Ledgers subseries.

Physical Plant and Property Series

Series consists of plans, guidelines, diagrams, certificates, quotations, and correspondence about the construction and maintenance of the Faculty Club building.
